# Sales, payments and tax reports

These reports answer four questions: which items sold, how sales are moving, how customers paid, and how much tax you collected. This page explains where to find each one and exactly what its figures count.

## Which report answers which question

| Question | Report | Where |
|---|---|---|
| How much of each item did I sell? | Item-wise Sales Report | **Reports → Item-wise Sales Report** |
| Are my sales going up or down? | Sales trend | **Reports → Sales trend** |
| How did customers pay? | Tender Mix tile | The Reports dashboard, under Business Performance |
| How much tax did I collect, and for which authority? | Tax Collected tile | The Reports dashboard |
| What did one day bring in? | Daily Summary | [Read the daily summary](https://help.omviq.com/reports/read-the-daily-summary/) |
| What has this shift sold so far? | X-Read | The till menu. See [Open and close a till](https://help.omviq.com/till/open-and-close-a-till/). |

Reports can be viewed on screen at any time without interrupting sales. Every report has a **Refresh** button and an **As of** time beside it. Most reports can be filtered by date range, terminal, cashier and location. A report you cannot open means your role lacks its permission. Cashiers have no reports home, and managers see their own locations.

## Item-wise Sales Report

It states, for each item sold at your branch over a range of business days, how many were sold and what they brought in. Every figure is the sale's own recorded figure, added up. A refund takes away from the item it names, on the day it was made.

1. Open **Reports → Item-wise Sales Report**.
2. Choose the **From business day** and **To business day**, then press **Run**. A range can be at most 90 days. A longer range is refused with a sentence saying how many days you asked for, and nothing is read.
3. The line under the title says which business days were read and the time they were read. Today, and any day that may still change, is marked **Provisional**. Run the report again to bring it up to date.

There is one row for each item sold, by the name, variation and SKU it was sold under.

| Column | What it shows |
|---|---|
| Category | The category the item was rung under. A sale that recorded none shows the item's current category, marked **(current category)**. |
| Quantity sold | Units sold less units refunded. A weighed item shows its exact weight. |
| Gross sales | The items' price before discounts. |
| Discount | The discounts given on them. |
| Tax | The tax on them. |
| Net sales | What they brought in, without the tax, including tax that was already inside a tax-inclusive price. |

A deal shows its items beneath it. Tap the arrow on the deal's row. The deal's items are counted in the deal's row, never twice.

Above the table are **Total Quantity Sold**, **Gross Sales**, **Discount**, **Tax** and **Net Sales** for the rows the filters leave. The summary also tells you:

- **Net Sales differs from the Sales report by:** the Sales report counts tax inside a tax-inclusive price as sales, and this report takes it out. It says by how much the two differ.
- **Sales recorded as totals only:** some sales are recorded without item lines, for example a collection at pickup. They are counted apart with their total, never in an item's row.
- **Refund lines listed apart:** a refund whose sold line could not be named is listed apart, with the reason.

Filter by **Location**, **Item** and **Category**, or search by item name or SKU. **Clear filters** shows everything again. **Export CSV**, **Export Excel** and **Print** give the same rows and summary as the screen. You need **View Sales Report** to open it and **View Transactions** for it to read the sales.

## Sales trend

It shows how your branch's sales move over time: a chart of columns or a line, and under it a table that states every figure the chart draws. Each period is set beside the previous period. Only people who may see the sales report are offered it.

| Control | What it does |
|---|---|
| **Group by** | By day, by week or by month. Changing it chooses a sensible range for that grouping. |
| **Range** | A quick choice, for example Last 30 days, Last 4 weeks, This month and last month or Last 12 months, or **Custom range**. |
| **Compare with the previous period** | Sets each period beside the one before it and shows the change in percent. **New** means the previous period had none. |
| **Figure** | Total sales, Net sales, Number of sales or Average ticket. The chart draws one figure and the table shows them all. |
| **Chart type** | Columns with the previous period as a line, or a line. |

The page opens on the last 30 days, by day, compared with the 30 days before. A week or month that is not over yet is marked **To date**, and a day that is still being added up is marked **Still coming in**.

**Where the figures come from.** A range of up to 90 business days is added up from the branch's own sales records, exactly as the Daily Summary states each day. The line under the chart says "From the sales records," and Net sales is available. A longer range, such as the last 12 months, is read from the reports' running daily figures. It is marked **Estimate**, may differ slightly from the sales records, and has no Net sales.

A range in more than one currency, or in a currency the report cannot state, is refused with a sentence saying why. A figure too large to state exactly is refused too.

**Every branch (head office).** If your branch belongs to a corporation and you have the corporation's sales report access, **Show** offers **All branches**. The chart then adds up every branch that sells, is marked **Estimate**, and shows Total sales, Number of sales and Average ticket. Choose a **Branch** to draw one branch alone. A member that does not sell, such as a warehouse, is named as not counted. If any branch cannot be read, the whole answer is refused by name rather than shown short.

**Print**, **CSV** and **Excel** give the table with the same figures, with the branch, range, grouping, source, comparison, currency and read time above it. They wait until the page has finished reading.

## Tender Mix

The Tender Mix tile breaks down sales by how customers paid: cash, credit, debit, gift cards, house accounts and any other payment types your business has set up. It answers "where is my money coming in?" and is the starting point for checking payments when you close a shift. Owners and Accountants see it by default, and Managers see it for their assigned locations. It needs the **View Tender Report** permission.

Omviq reads every payment of the period from the sales themselves each time you open it, so it shows what each payment has actually settled.

- There is one row for each **payment method**, with the net of what it took (its sales less its refunds) and how many sales it touched, for example "Sales: 3, refunds: 1".
- A payment the bank has not paid yet is on its own **Awaiting settlement** row. It never counts under its method and never counts as collected. Once the bank pays it, it moves under its method, on the day of its sale. A bill that expires unpaid shows as **Unpaid, settlement expired**.
- Money that no payment method explains gets its own row. An example is cash collected at the counter for a pickup order, shown as **Paid, method not recorded**. An **Unattributed** row, with its sign, covers any money the methods do not.
- Beside the rows are the **Total** of all rows, **Collected** (what the payments actually took in), the currency, and, for today, the time the figures were read.
- A row whose refunds outweigh its sales is listed with its negative amount and is not drawn in the chart.
- A period longer than 90 business days is too long to read sale by sale. The tile shows the figures recorded at the time of each sale and marks them as an **Estimate**.
- A period holding sales in more than one currency is not added up. The tile says so.
- If the payments cannot be read just now, the tile says so with a **Retry** button. It never shows an empty period instead.

Tap the tile to open the Tenders drill-in for the full breakdown, refund reversals, and export and print options.

## Tax Collected

The Tax Collected tile summarizes the tax charged to customers in the selected scope and date range, broken down by tax authority. It is the starting point for tax filings and for matching tax collected against what you pay over. Owners and Accountants see it. It needs the tax report permission.

- It adds up the tax on all completed sales in scope and range.
- It groups by tax authority, for example VAT, GST or a federal or state sales tax, so a business with several authorities sees each one.
- Refunds reduce the matching authority's total.
- The tile shows the grand total. Tap it to open the drill-in, which breaks the tax down by authority, rate and taxable amount and exports it in the formats each authority needs.

For regulated filings, set the date range to the filing period, for example Month to date or a full calendar month.

## Date ranges and comparison

The tiles follow the dashboard's date range picker. The default is **Today**, meaning the business day of the selected scope. You can switch to Yesterday, Last 7 days, Last 30 days, Month to date, or a custom range. With **Compare to prior period** on, each row shows the change from the period just before it, of equal length.

## If something goes wrong

| What you see | What to do |
|---|---|
| A report shows no data | Adjust the date range or the terminal filter to match the period you want. |
| A sale is not on a report yet | The report loaded before the sale posted. Tap **Refresh**. |
| A range is refused | The Item-wise Sales Report reads at most 90 days at a time. Choose a shorter range, or use the Sales trend for a long view. |
| A figure is marked **Estimate** | It comes from running daily figures, not from sale-by-sale records. It can differ slightly from the Daily Summary. |
| The tile says it cannot add up several currencies | The period holds sales in more than one currency. Choose a period in one currency. |
| You cannot open a report | Your role lacks its permission. Ask an admin. |
| Numbers do not match your payment processor | Pending or authorized payments may not be captured yet. Allow time for them to settle. |
