Sign in and start selling
This page takes you from the sign-in screen to your first sale. An owner sets the business up once. After that, each person signs in, picks a business if they belong to more than one, and identifies themselves at the counter with a PIN.
Before you start
Section titled “Before you start”- A login. You sign in with the email and password of your Omviq login. The owner creates the first login when the business is set up, and invites staff with the Manager or Cashier role.
- A PIN. At the counter you identify yourself with a numeric PIN, not a password. You can change your own PIN, and an admin can reset it.
- A role. Your role decides what you can do. Your business can also add roles of its own.
| Role | What the role does |
|---|---|
| Cashier | Rings up sales, takes payments and handles basic refunds. |
| Manager | Overrides prices, voids transactions, runs reports and manages staff. |
| Kitchen Staff | Sees incoming orders on the kitchen display, marks items as prepared and manages cook times. |
| Admin | Sets up the business: products, tax rules, floor plans and staff. |
| Business Owner | Reviews reports, manages locations and sets business policies. |
- Sign in with your email and password.
- Choose your business. If you belong to one active business, Omviq opens the terminal straight away. If you belong to more, the business selection screen appears. Each card shows the business name and your roles. Tap a card to open that business.
- Enter your PIN on the PIN screen. Omviq identifies you and loads what you are allowed to do. Everything you ring up from now on is recorded under your name.
- Open a till if Omviq asks you to. You need an open till to take cash. See Open and close a till.
- Start selling. See Make a sale.
Each business or location is separate. It has its own products and prices, tax rules, floor plan, staff and printers.
The business selection screen
Section titled “The business selection screen”| Your situation | What happens |
|---|---|
| One active business | Omviq opens the terminal. You do not see the selection screen. |
| Two or more active businesses | The selection screen appears. Pick one. |
| Active and inactive businesses | The selection screen appears. The inactive ones are greyed out and cannot be opened. |
| All businesses suspended or deleted | Every card is greyed out and Create New Business stands out. |
| No businesses at all | The setup wizard starts so you can create your first business. |
A greyed-out card shows why. A suspended business shows the reason, for example “Suspended — Non payment”. A business that is gone shows “No longer available”. A business can be suspended for non-payment, because an administrator suspended it, or because its free trial ended. Contact support to resolve a suspended business.
Create New Business is always at the bottom of the screen. You can also reach it from the business name at the top left of the Terminal or Settings header. If you already run a business, the wizard first asks whether the new one is another location of your business or a separate business. Nothing is created until you finish the wizard, so you can go back without changing anything.
If you are the owner: create your account and business
Section titled “If you are the owner: create your account and business”Do this once, the first time you use Omviq.
- Open the sign-up page and enter your First and Last Name, Email and Phone Number. You do not need a password yet.
- Choose Create Account. You are signed in straight away. Omviq emails you a link to set a permanent password. Use it.
- Choose your business type from the cards: Retail, QSR (quick service), FSR (full service), Bar, Bakery, Pharmacy, Delivery or E-Commerce. The type customizes your starting setup.
- Enter your Business name. It appears on receipts and reports. Choose Create My Business. You become the Admin with full access.
- Choose Go to Terminal.
Then add your real products under Settings → Catalog, set up your payment methods, and invite your staff as Managers or Cashiers.
Switch operator, lock the terminal and sign out
Section titled “Switch operator, lock the terminal and sign out”Open the account menu, the circle with your initials in the top bar. It holds My Profile, Switch operator, Lock Terminal and Sign Out.
- When another person takes over the terminal, use Switch operator. They enter their own PIN and the terminal switches to their account at once.
- Do not leave the terminal under your name when you walk away. Sales are recorded under whoever is signed on.
- Signing on and off is recorded for the audit trail.
When a manager has to approve
Section titled “When a manager has to approve”Some actions need a higher role than yours. When that happens, a Manager Approval Required dialog appears. A manager, or anyone whose role allows the action, enters their PIN. The action goes ahead, and Omviq records both of you: who asked and who approved. Then the terminal returns to your session.
Actions that usually need a manager include voiding an order, overriding a price, refunding above your limit, opening the cash drawer without a sale, deleting a held order and giving a comp above your limit. What needs approval depends on your role and your business’s settings.
To open the drawer without a sale, tap No Sale (or choose Functions → Open Drawer). A manager enters their PIN, the drawer opens and a No Sale record is kept.
An approval request stays open for five minutes. If Omviq cannot use an approval, the dialog tells you why:
| The dialog says | What happened and what to do |
|---|---|
| This approval was not used in time, so nothing was applied. | The approval came too late: after the request’s five minutes, or more than two minutes after the manager entered their PIN. Tap Re-approve. The manager enters their code and PIN again and the action applies. |
| The request changed while this was being approved, so nothing was applied. | The check, table or till moved while the manager was approving. Tap Re-approve to approve it as it now stands, or cancel. |
| The approval request expired while this was open and was raised again, but what it asks for has changed. | Close the dialog and start the action again. |
| Could not confirm … | Omviq lost the answer, so the action may or may not have gone through. Check the order, sale, till or table before you try again. Never repeat it blind. If it was an item void and the item is still on the check, reload the page before you void it again or take payment. |
Nothing is applied twice. A renewed approval is a new request, and Omviq checks it again.
Find your way around the top bar
Section titled “Find your way around the top bar”On a wide screen, the top bar shows every status icon and toggle in a row. On a phone, a small tablet or a narrow browser window, the controls collapse so the account menu is always on screen.
- Status menu. One icon button, a heartbeat line, holds the cloud sync, local agent, printer and barcode scanner statuses. Tap it to see each status and its current state, then the preferences: sound, vibration, theme and language. The icon takes the color of the worst status and shows a number when changes are waiting to sync.
- Account menu. The circle with your initials is always visible.
- On a phone, the time clock and the notification bell move into the status menu. The business day is listed there too.
Choose the till’s language
Section titled “Choose the till’s language”Pick a language from the language menu in the top bar (inside the status menu on a phone or small tablet), or from the language menu at the top of Settings. The whole till switches at once: the top bar, the menus and the screens. Urdu lays the till out right to left.
The language belongs to the device, not the business. Each till remembers its own choice and starts in that language the next time it opens, so two tills in one shop can run in different languages. The menu offers English and Urdu.
If something goes wrong
Section titled “If something goes wrong”| What you see | What to do |
|---|---|
| Your PIN is not recognized | Check the PIN. Check that you are assigned to this location. Ask a manager or admin to reset it if you still cannot get in. |
| No manager is available to approve | Any user whose role has manager-level permissions can approve. |
| You are signed on as the wrong person | Choose Switch operator, or have the right person enter their PIN. |
| Your business is greyed out on the selection screen | It is suspended or no longer available. Contact support. |
