Open and close a till

A till session tracks all the cash for one register, from the moment you open it to the moment you count and close it. Open one before you take cash, and close it when your shift ends. This page follows one shift from start to finish.

  • Cash needs an open till. Until a till session is open, the checkout greys out the Cash button and tells you to open the till. You can open it from the header without leaving the checkout, and that cash is counted in the session you just opened.
  • The drawer belongs to the register. Every terminal set to that register shows the same open drawer, whoever opened it. The till menu, the till button in the header, names the person whose shift it is, next to Held by. That is the person who opened the drawer, or the person it was last handed to.
  • A manager can pass the drawer to another cashier with Handover Cashier in the till menu. The line then names the new holder.
  1. Sign in to the terminal.
  2. When no session is open, an Open Till prompt appears. It shows who is opening the till and the till number or terminal name. Tap Start.
  3. Count the cash in the drawer and enter the starting float. You can count each bill and coin, or enter one total. Your business may require counting by denomination. If your manager set an expected float, it is shown.
  4. Tap Confirm.

The till session is now active. The terminal is unlocked for sales, returns and other work. A timer tracks the session, and every transaction is recorded against it. The opening float is the starting point for all the cash checks at the end of the session.

These cash movements are recorded automatically, each with its amount, its reason and who did it.

Movement Direction When it is used
Cash sale In A customer pays with cash.
Cash refund Out A customer gets cash back.
Paid in In Cash is added to the drawer, for example a change fund.
Paid out Out Cash leaves the drawer for an expense.
Cash drop Out Excess cash is moved to the safe.
Cash pickup Out A manager takes cash out of the drawer.
Float adjustment In or out The float is changed during the session.

The session’s movement history lists every movement. If it cannot be read in full, it shows none and says so, instead of showing a shortened list. Press Print at the bottom of the history to send it to the receipt printer. Anyone who can open the history can print it.

To open the drawer without a sale, use No Sale. A manager’s PIN is needed, and a No Sale record is kept.

Check how the shift is going with the X-Read

Section titled “Check how the shift is going with the X-Read”

Open the X-Read from the till menu at any time. It does not close anything and does not reset any counter, so you can pull one as often as you like. It has two parts.

  • Sales Summary has one line for each payment method the shift has taken, then Total Sales and Total Transactions. A method the shift has not taken does not appear.
  • Cash Drawer shows the cash that should be in the drawer: opening float plus cash sales, minus cash refunds, plus paid in, minus paid out, minus cash drops. This is the Expected in drawer figure.

A card sale never changes the Cash Drawer section. A busy card shift can show large Total Sales and an expected drawer barely above the opening float. That is correct.

Press Print to print the X-Read. What you can print depends on your role. Managers and Supervisors can print the X-Read of any shift. A Cashier can print the X-Read of the shift they opened. A Limited Cashier cannot, and Print is greyed out with a note.

When your shift ends, you count the drawer and close the session.

  1. Open Close Shift in the Station functions on the terminal. You may also see Close Till in the till menu, Functions or More. If sales are still open, Omviq warns you. Finish or void them first.
  2. Review the live X-Read in the dialog: totals and one line for each payment method.
  3. Tap Cash Out & Close Shift.
  4. Count the cash in the drawer, bill by bill and coin by coin, and enter each count. If Require Blind Count is on, you count without seeing the expected amount.
  5. Submit the count. Omviq works out the variance, which is the counted amount minus the expected amount. It reads Balanced when it is zero, Over when positive and Short when negative.

What happens next depends on your business’s limits.

  • Within the Variance Alert Threshold (a variance exactly at the limit counts as within it): the till closes and the Z-Read prints.
  • Beyond it: the close waits for a manager. The dialog shows the figures the manager will approve: expected, counted, the variance and the limit. A manager approves on your screen with a PIN, or later from Manager → Exceptions on any screen. A manager can also send the count back, so you count the drawer again and close.
  • A count beyond the Variance Warning Threshold shows a soft warning on your confirmed count before you press Close.

Pressing Close twice, or retrying after a lost answer, never closes the shift twice or records a cash movement twice. If you walk away from a close that is waiting, you see the till’s current state the next time you open the till menu.

When the till closes, the Z-Read can be printed, the session totals are recorded for end-of-day reporting, and the terminal returns to the Open Till prompt for the next shift.

  • Force close. A manager can force-close a till at any time. It skips the count and is for emergencies or shift changes when counting is not practical.
  • Shift change. The first cashier counts and closes their till, then the next cashier opens a new one with a fresh float. Each session is tracked on its own. A manager can also hand the drawer over without closing it, with Handover Cashier.

For managers: the settings behind your tills

Section titled “For managers: the settings behind your tills”

Open Settings → Cash Management, change what you need and tap Save. The next till session opened anywhere in your business picks up the new values. Sessions already open keep the values they opened with.

Require Blind Count Cashiers count at close without seeing the expected amount.
Cash Drop Threshold The till alerts the cashier when the cash in the drawer goes above this amount.
Enable Automatic Drop Reminders The till prompts again at the threshold instead of once.
