Check voids, refunds and cashier activity

Voids and refunds are the actions that most often show a training gap, a mistake or a problem with money. This page shows where to review them, who made and approved each one, how each cashier’s drawer balanced, and how to find any single transaction.

  • Voids and refunds need the View Voids & Refunds permission. The Void Report also needs View Orders so it can read the voids. Without either, the report says which permission is missing and reads nothing.
  • Cashier reports (Cashier Sales, Over / Short and the Exception Log) need the View Operator Report permission. A manager without it is redirected away from them.
  • Owners and Managers see the Voids & Refunds tile. Cashiers do not.
  • Every figure belongs to the location you are signed in to. If you move to another location from the organization menu in the header, every Reports tile and page switches with you. Signing out clears the location, till, shift and date range you picked in Reports.

The tile on the Reports dashboard shows two figures side by side.

  • Voids: how many, and their total amount, on transactions and on single lines.
  • Refunds: how many, and their total amount, for refund transactions.

Both exclude training-mode transactions. Manager-approved voids and refunds are included. It follows the dashboard’s date range picker. When comparison is on, each figure shows its change from the prior period. Increases are shown in red, unlike most tiles, because rising voids and refunds are usually unwelcome. Unusual spikes are a common sign of a training gap, fraud or a product quality problem.

Tap the tile to open the Voids & Refunds page. It shows the day’s void and refund counts, their total impact, and one row for each voided or refunded transaction with its amount. The Order / Sale column names what each row reversed: the order number of the check a void was taken off, or the number of the sale a refund gave money back on.

Tap a row to see the transaction’s detail page. It says what the reversal was, which check or sale it reversed, when, who performed it, the manager who approved it (when one did) and the reason recorded. The back arrow returns you to Voids & Refunds on the date range you chose. Voids and refunds recorded before 1 October 2026 show Unknown operator, because those records never held the person’s name.

The Void Report lists every void at your branch over a range of business days: each item taken off a check and each check voided whole. Use it to see who voided what, who approved it, why, at which till, and how much it took off.

  1. Open Reports → Void Report.
  2. Choose the From business day and To business day, then press Run. A range can be at most 90 days.
  3. Read the line under the title. It says which business days were read and the time they were read.

A void is filed under its check’s own business day, so a check opened yesterday and voided after midnight appears under yesterday. Today, and any day that may still change, is marked Provisional. Run the report again to bring it up to date.

Column What it shows
Check The check’s number, which is the number on its kitchen ticket.
Void type Item void (items taken off a check) or Whole order void (the check voided whole).
Business date, Void time The check’s business day, and when the void was made in your branch’s time zone.
Item The item’s name for an item void, or the number of items for a whole order void.
Quantity voided, Void amount How much was voided and the amount it took off what the guest owed.
Reason The reason recorded with the void.
Voided by The person signed in when the void was made.
Approved by The manager who approved it, or a dash when no approval was needed.
Branch, Till Where the void was made. A check rung with no open till shows No till recorded.

Tap the arrow on a row for its details: each item the void took, with its quantity, amount and whether the whole line or part of it was voided, the item’s modifiers, and Open check, which opens the check read-only in the terminal’s Orders workspace.

The summary above the table gives Total Voided Orders, Total Items Voided, Total Quantity Voided and Total Void Amount, with the count and amount for each type. Filter by Void type, Till, Item, Category, Voided by and Reason, or search by check number. The totals always describe the rows the filters leave. Clear filters shows every void again. A void recorded on a check after it was split is counted apart, not in the total, because its money is on the seat checks. Export CSV, Export Excel and Print give the same rows and totals as the screen.

These reports answer three questions a manager asks at the end of a day or a shift: who sold what, did the drawers balance, and what needed a manager. Reach them from the Reports dashboard.

A table of every cashier who rang sales in the period, with the top sellers first.

Column Meaning
Cashier The operator’s name.
Gross, Net, Tax The sales totals for the period.
Txns The number of transactions.
Voids, Refunds The count of voided and refunded transactions.

The Cashiers tile shows the active cashier count and the top seller, and opens this report. A cashier with unusually many voids is easy to spot here.

The cash drawer report has one row for each cashier shift that ended in the range. Open it from the Reports dashboard with the Cashiers tile, then Over / Short.

Column Meaning
Cashier Whose shift it was.
Status COUNTED (the shift ended with a count) or CLOSED (it ended without one, for example a logout, a handover with no count or a force close).
Expected The cash the till expected in the drawer when the shift ended.
Counted The cash counted when the shift ended. A dash means nobody counted.
Over / Short Counted minus expected, shown as a signed amount with a word label.

A short drawer, counted less than expected, is shown in the error color because cash is missing. An over drawer is shown in an attention color, not a success color. An overage is still worth a look. A balanced drawer reads $0.00 Balanced. A shift that ended without a count shows a dash, never $0.00, because no count was taken. A summary band above the table totals the over, short, net and flagged shifts for the range.

Select a row to see the figures the till recorded for that shift: opening drawer, cash sales and cash refunds, paid in, paid out and drops, the expected amount, and the count. The expected amount is the opening drawer, plus cash sales, plus paid in, minus cash refunds, minus paid out, minus drops. A figure the till did not record shows a dash. The figures are what the till holds at that moment, so a cash sale rung seconds before a handover can be counted in the next cashier’s shift.

Every override and void in the range, so you can review discretionary actions.

Column Meaning
Time When the transaction completed.
Transaction The transaction ID.
Cashier The person who did it. For a void, the person who voided it.
Approved By The manager who approved it, when one did.
Reason The override reason code or void reason.
Amount The transaction’s gross amount.
Type void for every void, approved or not. override for any other manager-approved or reason-coded action.

The Exceptions tile shows the exception count with a void and override split, and opens this report.

The Transactions screen lists the completed transactions of the current business day as cards.

  • A filter bar narrows the list: All, Completed, Refunded, Voided or Held. Each tab shows a count.
  • Each card shows the transaction ID and time, the operator and payment method, a preview of the first three items, the grand total and a status badge.
  • Search by transaction ID (full or partial), operator name or amount. Search works together with the active filter.
  • Tap a card to open its detail panel: the date and time, operator, order type and customer, every item with its quantity and price, the totals, and each payment with its method and amount. A refund’s lines are marked as refunds, and a void lists what the voided sale was paid with.
  • For a sale, tap Reprint Receipt in the panel to send the customer receipt to the default printer. A refund’s receipt cannot be reprinted from here.

The Reports transaction list adds a date range picker with presets (today, yesterday, this week, this month and custom). It opens on today. It shows 50 rows at a time, and Load More brings the next 50.

Column Content
Timestamp When the transaction completed.
Transaction ID The unique identifier.
Operator The cashier who processed it.
Type Retail, refund or void.
Gross, Net, Tax The amounts.
Tender The sale’s payment: its method, Awaiting settlement, Unpaid, settlement expired, or a void’s method marked voided.
Voided A badge when the transaction is voided.

Click a row to open the full record: the header with the time, operator, till and type, a Voided chip with the void reason when voided, the totals, one row for each payment method used, and a tax breakdown by authority when more than one applied. An empty list says No transactions in selected range. A record that cannot be found says Transaction not found.
