Apply a discount or coupon
A discount reaches a sale in three ways: Omviq applies a promotion on its own, a customer gives you a coupon code, or you give a discount by hand. This page covers all three and shows managers where each one is set up.
Which one do you need?
Section titled “Which one do you need?”| The customer | What to do |
|---|---|
| Qualifies for a store promotion, such as 20% off shirts or buy two get one free | Nothing. The promotion applies by itself when its conditions are met. |
| Has a coupon code or a coupon barcode | Apply the coupon. |
| Needs a discount for a reason, such as a complaint or a loyal customer | Give a discount by hand and pick a reason. |
| Is a staff member | The staff discount applies by itself when you are the buyer. If someone else is buying, attach the staff member’s customer record to the sale before checkout. |
Give a discount by hand
Section titled “Give a discount by hand”- Add the items to the cart.
- Tap the Discount button in the cart panel, or tap an item row to discount just that item. The Apply Discount dialog opens.
- Under Apply to, choose Entire Order or Single Item.
- Under Discount Type, choose Percentage, Fixed Amount or Custom Price.
- For a percentage, tap a preset button, such as 5%, 10%, 15%, 20%, 25% or 50%, or type a value in Custom Percentage. Your business decides which presets appear and how large a discount you can type. If you type more than the limit allows, the dialog warns you.
- Check the summary: Order Total, Discount, Savings and New Total.
- Under Reason for Discount, pick a reason. If your business requires a reason, the Apply Discount button stays greyed out until you pick one. Some reasons also ask for a note.
- Tap Apply Discount. If the discount needs a manager, you are asked for a manager’s PIN. The prompt names the discount and its amount.
On a check or receipt, every discount prints on its own row with its own name and amount: a preset by its name, a discount you typed by the words or reason given, and a promotion by the promotion’s name.
Who has to approve. Omviq decides in this order. If your role is set to need a manager for every discount, a manager approves every one you give. Otherwise a preset asks for a manager only when that preset is set to. Otherwise a discount you typed is checked against your business’s limits: the most money it may take off without approval and the largest share of the check. Going over either limit asks for a manager.
Apply a coupon
Section titled “Apply a coupon”- Add the items to the cart as usual.
- Tap Apply Coupon, or scan the coupon’s barcode.
- Type or scan the code. Capital letters and stray spaces do not matter, so
save10,SAVE10andSave10are one code. - Omviq checks the coupon: the code is valid, it has not expired or been used up, the sale meets its conditions (a minimum spend or required products), and it may combine with other discounts.
- If the coupon is accepted, a discount line appears in the cart with the coupon’s name and the saving, and the totals update.
There are three kinds of coupon: store coupons your business created, manufacturer coupons issued by a product vendor (the vendor funds the discount and it is tracked separately), and coupons triggered by a payment method. When the sale completes, the coupon is used up. A single-use coupon cannot be used again, and a multi-use coupon counts down.
| What you see | What it means and what to do |
|---|---|
| We could not check coupon … right now — try again | Omviq could not reach the coupon’s owner, for example because of a network problem. The code may be fine. Try again in a moment. |
| Coupon … is not valid | This location cannot redeem that code. Re-enter it carefully. |
| has already been redeemed, has expired, is not active yet, has reached its usage limit | The coupon exists but cannot be used now, for the reason named. |
| This coupon is already applied | The same code is already on the sale, in any spelling. |
| This coupon cannot be applied to this order | The coupon is valid but adds nothing here, for example because a better promotion already discounts the items and the two do not combine. The customer keeps the larger discount. |
| Minimum not met | The cart total is below the coupon’s spend threshold. Add items to reach it. |
Promotions that apply by themselves
Section titled “Promotions that apply by themselves”Your business sets up store promotions. They apply when their conditions are met, and nobody has to enter anything. Examples are a percentage or fixed amount off, a fixed price for a product, a free item, free delivery, buy-X-get-Y deals, bundles at one price, quantity breaks, spend thresholds with tiers, and loyalty rewards. Loyalty rewards need the loyalty program to be on and the customer identified at the time of sale.
When a promotion applies:
- A discount line with the promotion’s name appears below the item, and the item shows its discounted price.
- The receipt shows the original price, the discount and the final price.
- For a buy-X-get-Y deal, the “get” line shows which “buy” lines triggered it.
Promotions can run on a schedule, such as a weekday happy hour or a summer sale. They switch on and off by themselves, using your store’s local time. If a promotion is missing at the expected time, ask a manager to check its schedule and time zone.
Which discounts combine. Each promotion is set to Exclusive (it combines with nothing), Stackable (it combines with other stackable promotions) or Best Deal (Omviq picks whichever saves the customer more). By default Omviq gives the customer the best deal. A discount you give by hand stands: a stackable promotion can sit beside it, but an exclusive promotion does not apply while your discount is on the check. Remove your discount to give the promotion instead. A comp is applied on top of everything.
Items that get no discount. Gift cards, tobacco, lottery tickets and any product whose Discountable setting is off are left out of every promotion and discount.
For managers: where discounts are set up
Section titled “For managers: where discounts are set up”| Where | What you set |
|---|---|
| Settings → Promotions | Promotions that apply by themselves, and coupons. A wizard walks you through five steps: Type, Discount, Validity, Usage Limits and Stacking. Staff discounts are Employee Discount promotions, which can be limited to a customer group. |
| Settings → Discounts | What cashiers see at the till. It has three cards, described below. |
The three cards under Settings → Discounts:
| Card | What it holds |
|---|---|
| Preset Discounts | One-tap buttons, each with a name, a type (percentage or fixed amount), a value, a scope (item or order), whether a reason is required and an on/off switch. Inactive presets are hidden at the till. Each preset can also require manager approval, be funded by a third party, have a cap per bill and capture details such as the last digits of a card. |
| Open / Manual Discount | The limits on discounts a cashier types: whether a percentage or an amount may be typed, the default type, the maximum per item and per order, whether a reason is required, and the approval thresholds (Max without approval and Max % of check). A zero is the strictest setting, not “no limit”. |
| Reason Codes | The reasons a cashier picks from. Each can require a note. Only active reasons appear at the till, and reasons you add replace the default list. |
A business with a head office can create a promotion or coupon once and choose which locations get it. At those locations it appears in the list marked Managed by head office and can only be changed at head office. Head office promotions and coupons are deactivated, archived and restored, never deleted. Total and per-customer redemption limits are not available on them.
